Adding Zoom to Your Account

Step 1: Navigate to Settings

  1. Log in to your TeamCentral account
  2. Go to Team Scheduler → Settings
  3. Scroll to the Zoom Integration section

Step 2: Connect Your Zoom Account

  1. Click the "Connect Zoom" button

  3. Review the permissions requested:
    • View and manage meetings - Required to create Zoom meetings
    • View user information - Used to identify your Zoom account
  4. Click "Authorize" to grant access
  5. You'll be redirected back to TeamCentral with a success message

What Happens After Connecting?

Once connected, TeamCentral can create Zoom meetings on your behalf when you schedule calendar events. Your Zoom credentials are encrypted and stored securely.

Using Zoom Integration

Creating Events with Zoom Meetings

  1. Navigate to the Team Scheduler calendar view
  2. Select an available time slot
  3. In the event creation form, you'll see a checkbox: "Add Zoom meeting"
  4. Check the box to automatically generate a Zoom meeting link
  5. Fill in other event details (title, attendees, description)
  6. Click "Create Event"

What Gets Created?

When you create an event with Zoom enabled:

  • A Zoom meeting is generated with your account as the host
  • The Zoom meeting link is added to the calendar event's location field
  • Calendar invitations include the Zoom link
  • Attendees receive the Zoom link in their calendar event details and email invitations

Default Zoom Settings

Zoom meetings are created using your Zoom account's default settings (waiting room, participant video, etc.). To customize these defaults, update your preferences in your Zoom account settings.

Managing Your Zoom Connection

Viewing Connection Status

Go to Team Scheduler → Settings to view:

  • Your connected Zoom account email
  • Connection date and status

Reconnecting Zoom

If your Zoom connection expires or needs updating:

  1. Go to Team Scheduler Settings
  2. Click "Reconnect Zoom"
  3. Authorize again through Zoom's OAuth flow

Removing Zoom Integration

To disconnect your Zoom account and remove all stored Zoom credentials:

  1. Go to Team Scheduler Settings
  2. In the Zoom Integration section, click "Disconnect Zoom"
  3. Confirm the disconnection in the modal dialog
  4. Your Zoom credentials will be permanently deleted from TeamCentral

What Happens After Disconnecting?

  • Previously created Zoom meetings remain active (they are not deleted)
  • You can no longer create new events with Zoom links via TeamCentral
  • All stored Zoom tokens are deleted from our database
  • TeamCentral's access to your Zoom account is revoked (you can also revoke it manually in Zoom's Installed Apps page)

Data Privacy & Security

What Data We Store

  • Your Zoom account email address
  • Encrypted OAuth access and refresh tokens
  • Connection timestamp

What Data We Don't Store

  • Zoom meeting details (only the join URL is passed to Google Calendar)
  • Your Zoom password
  • Lists of your existing Zoom meetings
  • Participant information from Zoom meetings

How We Use Your Zoom Data

Your Zoom credentials are used exclusively to create Zoom meeting links when you request them during event creation. We never access your Zoom account for any other purpose.

Token Security

All Zoom OAuth tokens are encrypted using AES-256 encryption before being stored in our database. Tokens are only decrypted when needed to create a Zoom meeting on your behalf.

Troubleshooting

Connection Failed

If you see an error when connecting Zoom:

  • Ensure you're logged into the correct Zoom account
  • Check that you clicked "Authorize" on Zoom's consent screen (not "Cancel")
  • Try disconnecting and reconnecting

Zoom Meeting Not Created

If a Zoom link doesn't appear in your calendar event but you checked the box:

  • The calendar event is still created successfully (Zoom is optional)
  • Your Zoom connection may have expired - try reconnecting
  • Check the Team Scheduler settings page for any error messages about your Zoom connection
